Shopify Workshop Attendee Lists: Unlocking Customer Segments & Mobile Access
Ever found yourself in a bind, needing a quick, mobile-friendly list of customers who bought a specific product? Maybe you’re running workshops, classes, or events, and you need to check attendees right there on the spot, without lugging out a laptop or sifting through exported spreadsheets. That’s exactly the challenge our friend Adam from The Artery Studios CIC brought to the Shopify community recently.
Adam was looking for an "easy way to get a list of customers who have bought a particular product," specifically for workshop tickets, some of which had different dates. The kicker? He needed to do it "without having to be at a laptop and export a .csv." Sound familiar?
The Initial Hurdles: Filtering Orders & The 'Clunky' Factor
The common initial advice, as shared by community members like ai-theme-code-editor and Steve_TopNewYork, was to filter your Orders by product. And yes, that works for a quick lookup! You can see all the orders associated with a particular product or even a specific variant. But as Adam pointed out, and others agreed, it feels a bit "clunky" if what you really need is a clean customer list, not just a list of orders. Plus, getting that data easily on mobile without exporting? That’s where the native Shopify solution seemed to fall short.
Adam even mentioned, "At the moment we're using Sumup, we export the data and then filter in excel. It works but I really need easier access to the data." Many of us have been there, right? The struggle for efficiency is real!
The Game-Changer: Shopify Customer Segments
This is where the community really shined, with Maximus3 and ajaycodewiz stepping in to highlight a powerful, often-underestimated native Shopify feature: Customer Segments. And let me tell you, this is a total game-changer for Adam's situation, and likely for many of you too!
Maximus3 was pretty direct, saying, "I think Segments is going to be the easiest and smoothest you're going to get without going custom or using an app that pulls the same data anyway... Can get it from mobile app as discussed above. One tap. Can't get less clunky than that."
How to Build Your Attendee List with Segments (No CSV Needed!):
ajaycodewiz provided some excellent, clear instructions, and this is how you can set it up:
- Go to Customers > Segments in your Shopify Admin.
- Click 'Create segment'.
- In the "Describe your segment" box, simply type what you're looking for in plain English. For example:
customers who bought Autumn Pottery Workshop. Shopify's AI will interpret this and build the filter code for you. - Give it a name and Save. Shopify will then list everyone who bought that product.
- Access on your phone: Simply open the Shopify app, navigate to Customers > Segments, and tap your saved segment. The attendee list is right there, ready to go!
The best part? It updates itself automatically as new tickets or products sell. You create it once, and it stays current. No more re-exporting!
Important Note for Workshop Dates (Product vs. Variant)
Adam initially mentioned that he wouldn't "want to set up a product for each date for a particular workshop." This is a crucial point that ajaycodewiz clarified: Segments match at the product level, not the variant. So, if your different workshop dates are set up as variants of a single product, they'll all land in the same segment list.
If you absolutely need a separate attendee list for each specific workshop date (e.g., 'Pottery Workshop - May 1st' and 'Pottery Workshop - May 15th'), then you'll need to set up each date as its own distinct Shopify product. Then, you can create a separate segment for each of those products. It's a bit more product setup initially, but it gives you that clean, auto-updating list per date you're after.
If setting up separate products for each date isn't ideal for your workflow, you can still use the Orders screen to filter by product and then by variant. It's a bit more manual, but it does get you to the specific orders for a variant.
Beyond Segments: Apps & Feature Requests
While Segments are a powerful native tool, the community also acknowledged that there's still room for improvement. Steve_TopNewYork suggested that if a suitable app isn't found, it might be worth submitting this as a feature request to Shopify. He imagined "other merchants looking to manage reporting and events more efficiently may be running into the same limitation." ai-theme-code-editor echoed this, noting it would be "useful if Shopify added a native 'Customers who purchased this product' view that could be accessed from both the admin and the mobile app."
Adam himself is still exploring reporting or event management apps, which can sometimes offer more tailored features like check-in functionalities or more advanced attendee management beyond just a list. If your needs are very complex or specific to event management, a dedicated app might still be the way to go.
So, while there isn't a single "magic button" that perfectly solves every nuanced scenario for workshop attendee lists right out of the box, Shopify's Customer Segments offer a seriously powerful, mobile-friendly, and auto-updating solution that gets you 90% of the way there without needing to touch a CSV. It's definitely worth exploring if you're looking to streamline your event or product-specific customer management on Shopify. Give it a try – you might find it's exactly what you needed to make your workflow much smoother!
